Responsibilities

Under general direction of the Chief Financial Officer, provide financial and personnel management for the Department, the Crump Institute for Biological Imaging, and the Nuclear Medicine Clinic. Manage $12M in contracts, grants, state and donor funds through preparation of financial reports, including budget projections, reconciliation of all financial ledgers, review and approval of purchases and invoices for approximately 50 funds for 70 faculty, visiting scientists, postgraduate researchers, staff and graduate students. Serve as primary contact with Sales and Service Business Director for revision, implementation and annual review of budgets and rates. In coordination with the CFO and fund manager of the Clinical Medical Compensation Plan Fund, act as Lead to review, monitor and reconcile monthly expenses charged to the Basic Science Compensation Plan Fund to ensure validity of all charges such as: salaries, equipment, supplies and expenses. Act as lead to serve as main point of contact with UCLA TDG, EFM, and Hospital Billing for all Clinical Trials. Assist with training fund managers in the use of financial management systems to perform required transactions, analyses, and prepare financial reports. Assist in the preparation of the division budget by cost center for inclusion in the Dean’s Office budgets. Assist the principal investigators and the Departmental Financial Manager in projecting expenditures and in budgets reappraisals by analyzing internal documents, cost and expenditure patterns in order to formulate projections and re-budgeting of funds. Provide calculations for faculty salaries in accordance with the NIH cap requirements to the Personnel Office for revision of the monthly distribution sheets and Personnel Action Forms.

Qualifications

• Demonstrated working knowledge of general accounting practices, in particular the accounting policies and procedures of the University of California. 
• Demonstrated computer skills to operate software for advanced financial management such as Microsoft Office: Excel (including macros, pivot table, and advance functions), Word, Access and Outlook. QDB advance ad hoc queries, Internet Browsers, etc. 
• Demonstrated experience in performing accounting transaction and reconciling ledgers.
• Working knowledge of University and granting agency purchasing procedures. 
• Working knowledge of domestic and foreign travel policies. 
• Working knowledge of payroll policies and procedures.  
• Demonstrated ability to audit timekeeping records, compute, adjust and reconcile expenditures.
• Demonstrated skill in making financial and expenditure projections on a monthly and/or annual basis. 
• Demonstrated skill in using UCLA on-line financial system.   
• Ability to develop training materials for personal use and as a guideline for other trainees.
